About the role
Integrated Lightings Solutions Sdn Bhd is seeking an experienced and detail-oriented Admin and Account Executive to join our team in Petaling Jaya, Selangor.
This is a full-time position that will play a crucial role in supporting the smooth running of our operations.
What you'll be doing
Perform data entry, filing, clerical duties, reply and send emails, handle calls and attend to orders from customers.
Issue Purchase Order (PO), Sales Order (SO), Delivery Order (DO) and Invoice.
Prepare payment vouchers and online payments in a timely manner.
Greet visitors and direct them to related parties.
Keep the office space tidy and organized.
Monitor office operations, office supplies, and office equipment maintenance.
Assist project managers, engineers, and vendors for ongoing projects.
Liaise with forwarding agents for imported goods including preparation of Commercial Invoice and Packing List, and monitor until it reaches the customer.
Arrange local transporters for delivery of project goods.
Prepare and maintain a full set of accounts.
Generate and analyze financial statements and inter-company reconciliation.
Monitor accounts payable (AP), accounts receivable (AR), general ledger, and bank reconciliation.
Ensure month-end closing is completed timely and accurately.
Involve with management in financial planning, budgeting control, and taxation.
Assist in external audits by providing necessary documents and responding to tax queries.
Process payroll and claims.
Liaise with bankers, auditors, company secretary, tax agents, and government regulatory bodies.
Assist in the hiring process including preparation of related employment letters.
Maintain employee records.
Assist in any other ad hoc duties assigned.
What we're looking for
At least 2 years of experience in an administrative or accounting role, preferably in a similar industry.
Strong organizational and time management skills with the ability to juggle multiple tasks.
Excellent attention to detail and problem-solving abilities.
Proficient in Microsoft Office suite (Word, Excel, PowerPoint).
Proficient in SQL Accounting Software.
Good communication and interpersonal skills.
Proactive, reliable, and able to work independently as well as part of a team.
Deadline-driven and thrives in a fast-paced setting.
Preferably can start working immediately.
