**JOB RESPONSIBILITIES**Responsible for maintaining the daily operations of a business, supporting the company executives, performing clerical tasks, or coordinating administrative and general affairs procedures.**I. ADMINISTRATION**- Provide administrative support on HR and Admin functions.- Assist with recruitment - sourcing, screening, interview arrangements, preparing offer letters, etc.- Maintain accurate and up-to-date staff records and HR system.- Maintain and monitor and monitor employee attendance, leave records, medical and general claims, and update/generate reports.- Manage systematic filing system and safekeeping of private and confidential documents.- Perform general office duties, such as data entry, filing, and scanning.- General office management entails ordering stationery, keeping inventory of office/pantry supplies, and placing orders as needed.- Maintain general office files, including job files, vendor files, and other files related to the company's operations.- Supervise cleaners and cleanliness of the office.- Coordinate and participate in maintenance and renovation work as necessary.- Support company employee engagements, events, and welfare initiatives.- Coordination is in charge of coordinating routine tasks.- Perform any additional Admin, Regulatory, HR, and General Affairs tasks assigned by the Superior from time to time.**II. REGULATORY**- Assistance coordination liaison with the Government Department, local authorities, and agencies for any issues pertinent to the company on government legislative affairs such as registration, licensing, permit renewal, and so on.- Follow-up, monitor, and report to the Superior on any updates or changes to the status of any submissions made to government entities.- Assist with coordination to respond to government authority queries pertaining to the Company's statutory compliances.**III. GENERAL AFFAIRS**- Coordinating travel arrangements for company executives by reserving flights, hotels, or vehicle rentals- Manages general affairs and office administration, such as photocopiers, printers, phones, power, water, air conditioning, and pantry.- Liaise with internal employees on general matters and administrative support responsibilities.- Purchasing/inventory control of office supplies and pantry items.- Locate, contact, and work with vendors.- Asset Management Office.- Documenting records of office assets (e.g., workstation labels, desktops/laptops, labels, etc.)- Other responsibilities are assigned by the Superior.
