Details of the offer

Accountabilities :
Responsible for a range of activities under the Facilities Management. Ensure the capability and functionality of our built environment by integrating people, place, process and technology, enabling our people to provide excellent services and solutions to our affiliates and partners.
Duties & Responsibilities :
Office Services
Co-ordinate office services activities and overall office cleaning that includes waste management and waste recycling through partnership with Roche vendors, suppliers and contractors.
Repair & Maintenance
Ensure all preventive and corrective maintenance of office assets and equipment is carried out through regular checks, preventive measures and incident reporting, working with vendors and contractors for all maintenance work on-site.
Coordinate with Building Management for all e-service requests, monitoring and co-ordinate repair works until completion.
Office Security
Ensure overall office security through supervision of security guards & ensure office security procedures are in place.
Coordinate visitor registration and visitor passes process. Configure and maintain access cards.
Material and Service SAP Requisition
Act as Purchase Request focal point to raise material and service request through SAP system.
Event Logistic and Setups
Co-ordinate logistic requirements (meeting room & event furniture setups) for large-scale meetings, trainings, workshops and townhall.
Office Space Management & Inspections
Support the overall office space management, co-ordinate with internal functions on demand and request for use of space. Ensure periodic office inspections to enhance workspace condition and functionality.
Office Projects and Renovations
Co-ordinate and work closely with FM Projects for office renovations, work permit and ensure activities comply with Building Management guidelines.
Plan and prepare office facilities readiness for all new office space projects, administer office relocation activities.
Reporting & Documentation
Prepare and extract FM reporting, dashboard and documentation. Keep record and filing of office O&M manuals and other documents.
Emergency Response
Act as part of the company's emergency response team and in collaboration with Building Management in ensuring timely response for the safety and security of the people and the organization.
Others
Other responsibilities that may arise from time to time.
Ensure company code of conduct and core values are being observed at all times, business activities comply with relevant SOPs, local laws, taking into consideration the safety, health and environment aspects.
Job Requirement :
Candidate must possess a Bachelor's Degree, Post Graduate Diploma or Professional Degree in any discipline.
Minimum 3 years relevant working experience preferably in facilities management industry.
Proficient in written and spoken English language.
A strong team player, high self-motivation, solutions-oriented candidate with strong customer centric mindset. Able to work independently with minimum supervision.
Fluency in SAP or other business operating system with literacy in either Microsoft or Google suites is a plus.
