ResponsibilitiesManage the Month-End and Year-End AP Closing process and ensure the AP sub-ledger matches the general ledger.
Invoice Processing: Verify and process vendor invoices, ensuring proper documentation and approval.
Match purchase orders, receipts, and invoices for accuracy and ensure all invoices are posted accurately in the accounting system in a timely manner.
Payment Processing: Prepare payment batches for vendor payments, ensuring payments are made within agreed-upon terms.
Process electronic payments, cheques, and wire transfers.
Monitor and manage payment schedules to avoid late payment penalties.
Vendor Reconciliations: Reconcile vendor statements with the company's accounts and resolve any discrepancies.
Work closely with vendors to resolve payment issues, disputes, and inquiries in a professional and timely manner.
Expense Reporting: Ensure proper coding and classification of expenses in the financial system.
Assist in maintaining accurate records of company expenditures.
Compliance & Record Keeping: Maintain and file accounts payable records and documents in an organized and secure manner.
Ensure compliance with company policies and procedures, as well as local tax and accounting regulations.
Supplier Relationship Management: Maintain professional relationships with vendors and suppliers.
Respond to vendor inquiries regarding payments, balances, and invoicing details.
Reporting & Analysis: Assist in preparing weekly and monthly AP aging reports.
Provide necessary data for budgeting, forecasting, and audit purposes.
Perform Bank Reconciliations.
Internal controls and compliance: Assist in implementing and maintaining accounting processes and reporting procedures to comply with internal control requirements.
Cultivate good practice of control and finance accounting policies and procedures to ensure efficient and accurate reporting.
Ensure preparation of all supporting information for the annual audit and coordinate the annual financial audit process.
Perform other ad-hoc duties as required.
Job RequirementsBachelor's degree in Accounting.
Minimum 3 years of relevant working experience in Accounts Payable or a similar finance role, ideally in the F&B or retail industry.
Knowledge of ERP system (D365) an added advantage.
Proficient in MS Office tools.
Strong analytical and problem-solving skills.
Able to work independently as well as a team.
Adaptability and resilience in a dynamic and fast-paced environment.
