Your Role
Team Management & leadership:
Manage the team of direct reports on daily basis ensuring the administration, time attendance and law compliance is followed
Ensure all people processes for team are followed (performance appraisal, talent review, salary review, development planning)
Translate the company strategy and purpose to the team and make sure is understood and followed
Promotion people development, support talent pipeline building in the best interest if building high potential learning organization
Communicate effectively on different level of organizational structure
Actively participate in buildingand influencing the strategy of HRS APAC & MEA organization
Drives the initiatives of HR Solutions within the SEA region and secures alignment and good service delivery
A Typical Day
Payroll Administration:
Secure the payroll for Electrolux in Malaysia is delivered correctly and on time every month (ensure all payment, deduction,is adhere to Employment Act and policy)
Monitoring the Employee meal allowance database in payroll
Ensure all payroll related allowances (overtime computation, commission, etc) claims forms are processed and key in accordingly before the cut-off date
Secure the Payroll systems updates are done in a timely manner
Make sure that the Time and Attendance records are delivered in order to perform the payroll calculations
Ensure all statutory contribution is accurate, process and pay on time
Prepare and submit annual employer tax declaration and prepare individual tax documents
Compensation & Benefits and expatriate management:
Administrates the benefits according to the company policies and procedures
Monitors employee medial expenditure, verify insurance invoices
Maintenance of employee benefits records
Secure the medical database is updated weekly for new joiners and withdrawn employees, enrollment/deletion of new hire and resignee from insurance coverage,manage medical/BTI/GTL/GPA insurance claims
Visa/work permit application/extension for expatriate staff – Aligns with the Global Mobility colleagues on all the processes and secures that we are compliant with local regulations and Electrolux Global/Regional policies and directives - liaise with Travel and mobility on travel, hotels, credit card, concur …
Arranging long service award, birthday voucher, wreath, staffs gathering meals…etc
Employee health screening
Leave management, leave provision computation
Continuous Improvement & Customer service mindset:
Thinks about the HR processes from the user experience, and shapes the processes accordingly in order to provide a good experience to Employee and LM
Inspires the direct reports in being focused on delivering an outstanding HR Experience
Fosters a culture of Continuous Improvement by driving changes that provides a better HR experience to the Employees and LM’s, or provides efficiencies for the day to day tasks
Shares the best practices with the other colleagues in the region, and actively seeking to implement best practices from other regions, or external practices
Acts as a role model and inspires people in the team to run CI initiatives
Drives customer satisfaction analysis and improvement actions of owned processes
Support new services design and transition by translating customer requirements into service characteristics – both process and system related
Administration:
Maintain personal file for each employee with accurate documentation (record management)
Ensure high quality, accurate, insightful employees data is produced and maintained
Secures all systems are updated (Payroll, Regional Masterdata system, Regional Online Approval System-Employee Master etc.), and aligned with all other stakeholders to secure data is maintained in the other systems.
Prepare offer pack for new joiners (ensure work station and necessary are ready and business card is printed for sales and related position )
Fully in charge of administration and office assets management and maintenance, office service contracts, i.e. payment of bills (before and after approval) rent, cleaning services, electricity, courier, logistics, magazine subscriptions, procurement of stationary (letter heads, invoices, printer cartridge, files folders, fax machine), and maintenance of the office premises cleanliness (pantry items, PABX system,Maintenance, programming & lines subscription, fire prevention and equipment, office automation machines, water dispensers, company vehicles and road tax, office furniture and fitting, housekeeping, cleaner, postage, company mailing….)
Attend to all request for office stationary
Handle office Company staff access cards, office keys and employee parking
Ensure smooth functioning of the office equipment. Contact service provider immediately for any services intermittent
Conduct inventory monthly and ensure sufficient stationery
Business and trade licenses
Provides input for the annual sustainability report
Concur on/off boarding
IT on/off boarding
Teamship:
Secures a good cooperation with the colleagues within the region and all the other HR functions
Fosters partnership relationship with the HRBP’s having employees in Malaysia and COEs of the HR processes
Develops good business relationship with the business leaders and colleagues within the center
Who You Are
Bachelor degree
Minimum 7 years of experience in HR field
Experience in Payroll management
Experience of people management
Positive working attitude with pleasant & excellent interpersonal and communication skills
Experience of data analysis/data manipulation
Excellent written and verbal skills (Business English)
Proficient in full Microsoft Office applications
Self-motivated determination , result and customer oriented with a Continuous improvement mindset
