Role Overview
We are seeking a detail-oriented and proactiveHuman Resource and Finance Executiveto oversee and manage the human resource and financial operations of our studio.
This position plays a vital role in supporting both employees and leadership by ensuring compliance, accuracy, and efficiency across HR and finance functions.
This position reports directly to the Directors and Assistant General Manager.
Key Responsibilities
Human Resource Management Payroll and Statutory Compliance:
Process monthly payroll and ensure timely contributions to statutory bodies, including EPF, SOCSO, EIS and HRDF.
Handle monthly PCB tax deductions and liaise with LHDN (Inland Revenue Board of Malaysia) for employee income tax matters.
Recruitment and Onboarding: Plan and execute recruitment strategies, including job postings, interviews, and selection.
Conduct orientation and onboarding for new hires to ensure a smooth transition.
Employee Relations and HR Policies: Maintain and update HR policies and the employee handbook to align with Malaysian employment regulations.
Foster a positive work environment through team-building initiatives and employee engagement activities.
Leave and Records Management: Maintain accurate records of employee leave, attendance, and benefits.
Ensure proper documentation of employee files (physical and electronic).
Develop and implement HR policies to support organizational goals.
Liaise with statutory boards and ensure compliance with employment regulations.
Finance Management Book-keeping and Financial Reporting:
Perform bookkeeping tasks, including tracking income and expenses, preparing invoices, and reconciling accounts.
Prepare financial summaries and reports for management review.
Compliance and Auditing: Manage SST submissions and ensure compliance with Malaysian tax regulations.
Assist in audits by preparing necessary documentation and liaising with external auditors.
Vendor and Payment Management: Manage vendor relationships and ensure timely payment of invoices.
Negotiate with suppliers to achieve cost-effective solutions for the studio.
Review and process expense claims and reimbursements.
Administrative Support:
Maintain organized physical and electronic records for HR and finance functions, and other departments.
Ensure secure handling of confidential information, including contracts and agreements.
Support general administrative tasks as needed to ensure smooth studio operations.
Operations Management:
Oversee smooth daily operations, ensuring optimal customer service.
Manage front desk activities, HR functions, and facility maintenance (cleaning, equipment, pantry supplies).
Support ad hoc administrative tasks as required, including event planning and logistical coordination.
Skills & Qualifications
Diploma or higher qualification in Human Resources, Finance, or a related field.
At least 3 years of experience in: Human Resource Management (payroll, recruitment, statutory compliance) and Finance Management (bookkeeping, budget tracking, statutory submissions).
Strong IT proficiency, including familiarity with HR and financial software.
Positive attitude with excellent communication skills.
Meticulous, highly organized, and able to handle confidential information with discretion.
Strong analytical skills and a solution-oriented mindset.
Bilingual (English and Mandarin), experience in customer service or managing social media is a plus.
Active fitness lifestyle and enthusiasm for physical movement.
