Purpose of the Position

Responsible for contracts administration functions including, but not limited to agreement preparation, negotiations and audit compliance.

Key Responsibilities & Accountabilities

Preparation of Request for Quotes (RFQ), and/or Request for Proposals (RFP) packages

Receive subcontractors' responses to RFQ/RFP and determine each subcontractor's ability to meet Company and Procurement requirements including preparation of justifications, price/cost analysis, and negotiation memorandums

Prepare, issue and negotiate contract documents and amendments with delegated procurement authority

Ensure timely processing of contract requisitions

Verification of accuracy and completion of proposal packages; coordinate with other divisions to clarify and ensure data is accurate

Establish and maintain accurate tracking records tailored to each contract

Complete file documentation, maintain and update contractors' files for internal and external audits by applying BSI’s best practices, policies and procedures

Attend and serve as contract representative at program and project meetings

Attend Procurement related training and or seminars

Be able to create and maintain a pipeline of contract expiry to be reported on an agreed basis (monthly/quarterly/etc), and communicate with relevant contract owners on action to take (renew/benchmark/tender/terminate)

Responsible for the creation of suppliers and contracts in BSI Contract Database, ensuring that the information filled is accurate

Responsible for ensuring suppliers receive and complete due diligence questionnaires, and handling any issues that arise, escalating where appropriate

Very basic knowledge of SAP (vendor numbers)

Knowledge and Experience

Relevant academic or professional qualifications required for the role

Must have: strategic sourcing experience

Skills and Abilities

Has been trained in the principles, tools and techniques of both basic and advanced negotiation

Fully conversant with the theory and application of modern procurement techniques and tools

In-depth understanding of the supply market place and its dynamics

Good interpersonal skills; able to lead (where appropriate) or fully participate in cross-functional teams and confidently operate at senior levels with internal business and suppliers

Proven ability to develop and implement innovative purchasing solutions

Analytical/commercial

Good communicator

Able to analyse and determine the nature of the optimum relationship to be developed with a supplier and to put in place a structured Relationship Management Plan to achieve this

Qualifications

Has achieved or is prepared to study for CIPS accreditation

Educated to Degree level or shows equivalent experience
