The roleJoin our growing team at Indepth solution Sdn Bhd as an Administration Executive.
In this full-time role, you will be based in Kelana Jaya, Selangor, providing vital administrative support to ensure the smooth running of our operations.
Key Responsibilities
Project Documentation Management & Coordination : Prepare, organize, and maintain tender documents, ensuring all required information is included and compliant with tender specifications.
Project Submission Coordination : Assist in the preparation and timely submission of tenders, ensuring that all forms, technical proposals, and pricing documents are completed and submitted in accordance with deadlines.
Clarifications : Support the team by coordinating and responding to any clarifications or additional information requested during the tender process.
Database Maintenance : Maintain an up-to-date database of tender opportunities, tender responses, and awarded contracts for future reference.
Internal Liaison : Work closely with departments such as legal, procurement, and project management to gather required documents and information for tender submissions.
Compliance and Risk Management : Ensure that all tenders comply with legal, regulatory, and company requirements.
Documentation Filing and Record-Keeping : Maintain an efficient filing system for both physical and electronic tender records.
Post-Tender Activities : Assist with the analysis of submitted tenders, including the tracking of outcomes and preparing reports on bid performance.
General Administrative Support : Provide general administrative support to the tender team, including scheduling meetings, preparing agendas, and other office duties as required.
Key Skills and Qualifications
Education:Diploma / Bachelor's degree in Information Technology, Computer Science, Business Administration, or related field.
Experience:Fresh graduate or minimum 1 year experience in project admin work.
Information Technology related background will be advantageous.
Language Skills:Proficient in Bahasa Melayu, English, and other languages.
Computer Skills:Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with tender management software or databases.
Time Management:Ability to manage time efficiently and prioritize tasks in a fast-paced environment.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Information Technology savvy with relevant knowledge.
Strong attention to detail and ability to maintain accuracy under tight deadlines.
Ability to work independently as well as collaboratively in a team setting.
Good understanding of project lifecycle and key project management processes.
