Workplace Ambassador, Receptionist
Main Duties & Responsibilities
Provide call logging services in accordance with service guidelines.
Receive and log complaints, recording complete details of service requests/complaints from employees of Convergys and assigning unique identity numbers for all service requests/complaints.
Generate job cards/work orders for all service requests with specific tasks by assigning unique reference numbers.
Assign and dispatch specific service providers based on the nature of requests/complaints.
Follow up on completion by regularly checking with respective service assignees and recording response times.
Communicate with requestors to ensure call closure, request status, reasoning, and commit on probable timing of call closure.
Prepare daily/weekly reports on call status and monthly reports on recurring calls, assisting the Assistant Manager - Facilities in job card analysis.
Ensure compliance with regulations/requirements of JLL management.
Provide assistance in general administrative activities as required.
Contribute to the Monthly Management Report.
Participate in emergency evacuation procedures, including crisis management and business continuity.
Manage all health and safety issues and actively participate in health and safety reviews.
Assist with the resourcing of other aspects of operations as required.
Perform other duties as required.
Work closely with Administration in relation to the payment of invoices.
Work closely with Engineering and Facilities in relation to the completion of work orders/contractor management and agreed operational procedures.
Others
Support the Workplace Experience Ambassador Program.
Operate Plan on & E-Fit.
Manage meeting room bookings.
Oversee locker management.
Act as Workplace Accessibility Program backup for SRA, etc.
Workplace Engagement:
Lead employee engagement at all levels as the main point of contact for all staff in the building.
Act as a workplace community liaison to bring together teams, support and promote internal events/clubs, and build the community.
Host engagement meetings to prompt proactive feedback about the building and enhance the overall workplace experience.
Provide feedback and suggestions raised by staff to the CRE and workplace team.
Arrange and meet regularly with the client within their area to ensure needs are met and liaise with other key business department managers.
Proactive Workplace Management:
Mitigate workplace challenges and prepare proactive solutions to improve productivity.
Conduct regular floor work to ensure space readiness.
Monitor space utilization daily, identifying low and high usage areas and informing Occupancy Planning of challenges or opportunities.
Review neighborhood sizes and work patterns, providing feedback to CRE as necessary.
Support and coordinate workplace initiatives, including communications campaigns.
Liaise with workplace and project teams for reviews of fixed desk requirements.
Identify areas for improvement in service delivery and processes.
Work with the environmental team to raise awareness and ensure optimum recycling.
Facility Management:
Ensure a safe working environment and compliance with statutory regulations on fire, health, and safety standards.
Recommend continuous quality improvement practices and implement best practice operations.
Implement workplace procedures and performance measures and ensure they are maintained.
Ensure disaster recovery and business continuity plans are implemented.
Implement escalation and incident reporting procedures.
Assist in developing guidelines and strategies for compliance with business conduct.
Workplace Etiquette:
Champion flexible working and support employees on tools and processes.
Ensure the building and relevant equipment/technology are in perfect working order.
Encourage ownership of issues with shared desk/space by guiding users to the right direction.
Manage the locker process and ongoing distribution post-implementation in coordination with Security and the business.
Requirements:
Must have the necessary rights to work in Sarawak (candidate must be a local Sarawakian).
Diploma/Certificate in Business Administration or equivalent field.
