Receptionist Job Duties:
Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
Maintains security by following procedures; monitoring logbook; issuing visitor badges.
Maintains safe and clean reception area by complying with procedures, rules, and regulations.
Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
Contributes to team effort by accomplishing related results as needed.
Answer the phone in a timely manner and direct calls to the correct offices.
Create and manage both digital and hardcopy filing systems
Complete procedures when visitor arrive and leave office
Organize letters, bills and payments via cheque
Take and pass on messages to colleague or management
Deal with any requests from visitor
Deal with complaints or problems in a proper manner
Answer telephone calls and take messages or forward calls
Copy, file and maintain paper or electronic documents and records
Handle incoming and outgoing mail
Administrative Assistant Job Duties:
Administrative and office support activities for multiple supervisors
Word processing, creating spreadsheets and presentations
Documentation, filing and data entry
Write and distribute email, correspondence memos, letters, faxes and forms
Develop and maintain filing system
Order office supplies and research new deals and suppliers
Maintain contact lists / Maintain pantry, stationeries and office supplies
Provides information by answering questions and requests.
Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
