Job Description Responsible to provide secretarial services and operational support to Operation Manager as well as the daily operations of the Department. Responsible to plan, organize and control of day to day operation and supervised job on progress. Provide advice and assist of operational aspects to Coordinators and Operations Manager to meet Client and Company requirements. Provide operation and secretarial support to the Operations Manager by performing all secretarial duties, i.e. handling phone calls, typing, etc. on a timely basis and in accordance with the requirements of the Operation Manager. Prepare and administer routine correspondence, request for quotation documentation to ensure timely and coordinated quotation submittal. Assist Operations manager to supervise and co-ordinate job scheduling, manpower planning and control for each job executed. Assist Operation manager in providing internal couching & and training for Inspection Engineer, Inspector & Assistant inspector. Assist Operation manager in manpower planning & external training. Supervise and monitored job performed by operation coordinators, administrator, inspection engineer, inspector & assistant inspector on daily operation. Handle day to day operation and coordination. Liaise with clients, affiliates, filling, opening of job files, arranging of inspectors, sending reports, closing of job files, invoicing, etc. Coordinate and arrange meeting within the department. Ensure proper overseas travel arrangements for the all staff within the department and arranging transportation and hotel accommodation in accordance to their travelling schedules. Handle incoming and outgoing mail/correspondence of the department. Handle all incoming mail, parcels and distributing them to the appropriate personnel within the department. Review all complaints and/or potential complaint relating to the department. Ensure compliances of SGS standards and other global Policies. Meeting with client if necessary with regards to operational matter. To take necessary corrective action for any non-conformance. Undertaking some of the Operation Managers duties during his absence. Adherence to applicable Quality Management System by exercising necessary standard and process when carry out your responsibilities in executing, fulfilling and ensuring at all times the compliance of the QMS and is fully implemented in accordance to ISO 17020 & MIBAS, 17065 & ACB and ISO17025 & SAMM requirements"(where applicable). Adherence to SGS Health, Safety and Environment (HSE) Policy by uphold a good safety behavior and exercising necessary standard and process when carry out your responsibilities at all times to ensure compliance to the HSE requirements. Perform any other responsibilities as assigned by your reporting manager and/or Senior Management. Qualifications High School (SPM holder) with 7 years of experience in related field. College diploma in Management / Engineering or related field with 5 years experience. Degree in Management / Engineering or related field with 3 years of experience. Experience in operational/management/coordinating in business activities. 5 years experience in Dangerous Good operations.
