Our esteemed client is seeking a human resources (HR) professional for the job of Onboarding and Career Services Specialist. The job is based in Kuala Lumpur, Malaysia. The Onboarding Specialist is the primary point of contact for the new hire before they start working in the company, helping them to address any questions or concerns they have. They are responsible for coordinating between the various functions to ensure that all required Human Resource and Operational activities are completed on or before the new hire’s first day. Career Services is a critical function which is at the heart of the company’s engagement plans for both their staff and alumni. The ideal candidate will be supporting the development and the execution of career services, lateral integration and alumni agenda for Southeast Asia. Job Responsibilities: OnboardingWork closely with the Manager to manage and oversee all required administrative activities prior to the new hire’s first dayFirst and primary point of contact with new hires and responsible for helping new hires navigate through pre-start processes and issuesActively monitor work permit process, where applicable, and recommend action as necessary in the event of bottlenecksResponsible to ensure smooth and seamless Day 1 for all new hiresPlan and execute Day 1 onboarding activities based on new hire’s start dateResponsible to monitor and report on new hire feedback regarding onboardingResponsible to identify and recommend onboarding best practices based on new hire feedback Career Services Coach individuals and offer outplacement support where needed (e.g. reviewing CVs, cover letters, defining job search strategies) and help navigate the company’s resourcesEnsure exit process, exit interview and survey are completed appropriatelyMaintain contact with HR departments of potential employers and with recruitment agencies with the goal of mediating vacancies to candidatesManage all documentation/ administrative requirements for transition candidatesOptimize, expand, and update the headhunter, jobs and market salary databaseMaintaining the intellectual property collection with sample CVs and cover letters as well as studies and articles on career planning on a continual basisSupport Manager to define, document and develop policies related to CSKeep up to date of current market developments in CS management and development; observes the competition and proactively initiates measuresParticipate in strategic HR initiatives – manages specific HR projects, e.g. driving programs to re-engage with selected alumni Job Requirements: A Bachelor’s Degree, preferably in Business or HR focus, or any related field A minimum of 5 years of experience in Onboarding and Career Services An experienced team player with strong organizational skills High degree of attention to detail and willingness to roll-up-sleeves to get things done Able to identify potential issues and/or roadblocks that can impact start dates, and develop solutions to address these issues/roadblocks Demonstrated ability to work independently with limited supervision Able to work well with others and guide them as required Strong verbal communications, listening skills and negotiation skills Extrovert and has experience in engaging and managing senior stakeholders Experience in facilitation and/or candidate/customer engagement (face-to-face and remotely) Knowledge and experience in Database Management and MIS Ability to collate, read, organize and analyze data in Excel Avid user of social media – Linked In, Glassdoor, Facebook etc Preferably have a combination of Executive Search and Internal Human Resources experience
