**Roles & Responsibilities**:- Assist and provide administration supports to Head of PMO includes coordinating meeting, follow up on outstanding issues and tasks assigned by Head of PMO- In-charge of procurement activities, including negotiation and vendor sourcing- Prepare vendor LOA and take charge in contract formation, including update the revised T&C to Legal Work Group- Prepare purchase quote and follow up on purchase order issuance- Vendor's contract monitoring (EOT, LD, BG, VO)- Long Lead Time Equipment Delivery monitoring- Work with PMO to source and expand existing pool of vendors and arrange for negotiation based on new project / tender requirement- In charge in Vendor Qualification Process, ensure process is comply in IMS standards- Assist in tender process, request and compiling vendor quotations, documents compilation and submission- To summarise and tabulate vendor quote for specification and cost evaluation & review- Responsible to all the correspondences with Vendors during tender stage. (Sales & Project team to support for commercial & technical portion)- Prepare NDA to vendors, ensure vendors comply to NDA- Administrate new job registration includes update project details in NAV system- Monitor and update project costing based on BUH's direction, including monthly reporting of project costing to PMO- Work with PM / PD to prepare and submit project progress claim for customer billing- Review and check SMW to ensure project details are accurate before submission to Service Division- Organize, coordinate, and facilitate weekly Project Operation Meeting, including efficient minutes taking- Generate & submit KPI report quarterly- Attend IMS internal and external audit and update documents with latest operation process when required- Provide ad-hoc supports to Division**Requirements**:- Detail-oriented, sound judgement, organized and flexible- Displays a high level of responsiveness and follows through on commitments- Good interpersonal skills and able to interact with all levels, internally and externally, in a professional and responsive manner- Comfortable working from site office**Address of work location**:Jalan Digital 7, Kulai Industrial Park (KIDEX), Mukim Bukit Batu, Daerah Kulai, Johor Darul Takzim, Malaysia**Salary**: RM2,500.00 - RM4,500.00 per monthSchedule:- Monday to FridayAbility to commute/relocate:- Kulai: Reliably commute or planning to relocate before starting work (preferred)Application Question(s):- Are you a local (i.e. Malaysian) or work pass holder?- Are you comfortable with working at site office?- What is your expected monthly salary (in MYR)**Education**:- STM/STPM (required)**Experience**:- Project Executive: 3 years (preferred)
